Purchasing Department Opportunity: Subcontract Specialist

icon Mechanical is seeking a qualified professional to join our Purchasing Department. We are a design engineering, fabrication and self-perform mechanical contractor. With offices in Granite City, IL, St. Louis, MO and Nashville, TN, icon has a diverse portfolio of clients extending across 42 states, and internationally in Mexico and St. Croix. Our team designs projects to be built, for market sectors which include healthcare, commercial, industrial and institutional.

The opportunities we are currently offering include the following:

  • Subcontract Specialist (2-5 Years in a Similar Role)

Primary responsibilities for icon’s Subcontract Specialist include:

  • Creating subcontracts and change orders as requested
  • Corresponding between our company and vendors regarding subcontracts and additional compliancy
  • Reviewing customer invoices for accuracy, code and process
  • Reviewing significant and/or unique contract requirements, special provisions and terms & conditions then documenting and communicating changes with upper management and vendor to gain approval/denial
  • Ensuring full execution of agreements, subcontracts and associated modifications are disseminated to appropriate departments within the company
  • Ensuring all vendors are compliant with insurance requirements and all COI’s are organized for future requests
  • Maintaining record of any documentation needed from vendor, while communicating regularly with vendors when such documents are needed
  • Reviewing all subcontract invoices and coding them with proper information and submitting said documentation to the Accounts Payable department
  • Assisting with material and equipment purchase orders, as needed
  • Communicating with Project Managers for all jobs entailing subcontracts

Primary qualifications for icon’s Subcontract Specialist include:

  • Possessing exceptional communication (both oral and written) and interpretation skills
  • Displaying strong attention to detail, while having the ability to make quick, informed decisions
  • Having the ability to work under pressure within a fast-paced environment
  • Performing efficiently in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint)
  • Possessing knowledge of different types of contracts (Time & Materials, Lump Sum, Cost Reimbursable, Master Service Agreements, etc.) are helpful, but not required
  • Working with others within the organization with a positive, helpful attitude; taking ownership of the role and seeking ways to improve processes
